Job Description

Job Title: Executive Assistant, Government. Location: Remote (United States)

Additional Location: Boca Raton, FL, USA

Responsibilities:

Executive & Operational Support

  • Provide comprehensive administrative support to the Senior Vice President of Global Government Relations & Public Affairs and the Vice President of Government Business Solutions.
  • Manage complex executive calendars across multiple time zones.
  • Coordinate domestic and international travel arrangements.
  • Process expense reports and manage executive correspondence.
  • Anticipate executive priorities and ensure smooth day-to-day operations.
  • Maintain organized records, documentation, and shared resources.

Meeting & Executive Readiness

  • Coordinate executive meetings and schedules.
  • Prepare meeting agendas, briefing materials, presentations, and supporting documentation.
  • Record meeting decisions, action items, and follow-up activities.
  • Ensure executives are fully prepared for leadership, customer, and strategic meetings.

Executive Communications & Stakeholder Coordination

  • Serve as a primary point of contact for internal and external stakeholders.
  • Facilitate effective communication while maintaining professionalism and confidentiality.
  • Build and maintain strong relationships across teams, partners, customers, and government stakeholders.
  • Represent executives with discretion and professionalism.

Projects, Process & Enablement

  • Coordinate special projects and organizational initiatives.
  • Conduct research, analysis, and progress tracking.
  • Collaborate with cross-functional teams to achieve project objectives.
  • Improve executive administration processes and operational efficiency using collaboration and project management tools.

Qualifications:

  • 10+ years of experience supporting senior executives.
  • Experience supporting executives working remotely across multiple time zones.
  • Experience supporting leaders within one or more of the following:
    • Aerospace
    • Defense
    • Government Contracting
    • Public Affairs
    • Government Relations
    • U.S. Congress or U.S. Administration
  • Excellent organizational and time management skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail.
  • Demonstrated ability to maintain confidentiality and handle highly sensitive information.
  • Proficiency with Microsoft Office, including:
    • Word
    • Excel
    • Outlook
    • PowerPoint
    • SharePoint
  • Experience using collaboration platforms, project management tools, HRIS, and enterprise systems.
  • Proactive, solution-oriented mindset with strong problem-solving abilities.
  • Ability to build relationships with executives, stakeholders, vendors, and external partners.
  • Experience working in multinational organizations and collaborating across regions.

Preferred:

  • Active Secret Security Clearance or higher.
  • Ability to obtain and maintain a Secret (or higher) Security Clearance.
  • Eligibility to access controlled information under U.S. export control regulations or the ability to obtain any required export authorization.

Benefits and Compensation:

  • Salary: $87,000 to $120,000 USD per year, depending on experience, qualifications, skills, and work location.

  • Reports to the Chief of Staff.
  • Supports the Executive Administration Team and Government organization.
