Lead Executive Administrator

Job Description

Job Title: Lead Executive Administrator. Location: United States (Remote)

Responsibilities:

  • Provide high-level administrative support to senior executives.
  • Manage executive calendars, including scheduling meetings, prioritizing requests, and resolving conflicts.
  • Handle sensitive information with strict confidentiality.
  • Coordinate complex travel arrangements, including flights, accommodation, itineraries, and related correspondence.
  • Organize meetings, conferences, events, business luncheons, and client dinners.
  • Support planning and execution of company events and team-building activities.
  • Prepare reports, presentations, meeting materials, and correspondence.
  • Maintain and organize files, records, and internal documentation;
  • Manage expense reporting and enter transactions into T&E systems.
  • Coordinate communication between internal teams and external stakeholders.
  • Ensure smooth execution of administrative and operational workflows for executive leadership.

Qualifications:

  • High School Diploma or GED required.
  • Minimum 2+ years of administrative support experience for senior-level executives.
  • Experience managing calendars, scheduling, and travel coordination.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent written and verbal communication skills;
  • Strong organizational, time management, and prioritization abilities.
  • Ability to manage multiple conflicting priorities and deadlines.
  • High level of professionalism, discretion, and reliability.

Preferred:

  • Associate degree preferred.
  • Experience working in commercial or client-facing environments.
  • Exposure to sales and marketing teams or business development environments.
  • Strong attention to detail and ability to identify key information quickly;
  • Self-motivated with the ability to take initiative without supervision.
  • Experience supporting fast-paced executive or corporate environments.

Benefits and Compensation:

  • Annual salary range: $88,000 to $110,000
