Executive Administrative Assistant

Job Description

Job Title: Executive Administrative Assistant. Location: Bothell, WA (Hybrid)

IonQ is looking for an experienced Executive Administrative Assistant to support senior leaders in engineering, production, and finance; This role requires strong business experience, high-level organization, & the ability to work across technical and operational teams.

Responsibilities:

  • Support heads of engineering, production, and finance with calendar management, travel, meetings, and expense reports.
  • Manage the Head of Engineering’s inbox: filter, respond, flag important messages, and archive unimportant items.
  • Schedule meetings proactively based on business needs and priorities.
  • Attend meetings to take notes and manage follow-ups and action items;
  • Collaborate with the finance team (FP&A) to gather and organize budget inputs from staff, schedule reviews, and handle communications.
  • Program manage internal projects: create action plans, update trackers, and follow up with stakeholders.
  • Arrange complex domestic and international travel, including multi-leg trips, visas, and accommodations;
  • Independently prepare and submit expense reports and gather all needed documentation.
  • Handle requests for meetings and determine when executive time is required.
  • Provide additional ad hoc administrative support as needed.

Qualifications:

  • 8+ years of administrative support experience, with 5+ years supporting executives.
  • Experience managing executive inboxes and travel planning;
  • Technical understanding of engineering terms, processes, and budget handling;
  • Proven ability to prioritize, manage overlapping priorities, and support multiple executives.
  • Advanced proficiency in Google Suite (Gmail, Sheets, Slides, Docs).

Preferred:

  • 12+ years of administrative support experience;
  • Background in technical fields like hardware, software, manufacturing, or finance.
  • Experience with program management in technical environments.

Compensation and Benefits:

  • Base Salary: $101,838 to $127,881
  • Total Compensation: Includes base, bonus, equity

Final compensation depends on experience, job-related skills, and location.

Eligibility: Candidates must be U.S. citizens, nationals, permanent residents, or lawfully admitted refugees/asylees due to export control laws. Immigration status questions will be required during the hiring process for compliance reasons.
